About the Role
The Operations Officer reports to the OCC Manager. The Operations Officer is responsible for the efficient and accurate dispatch of Freedom II aircraft (international and domestic operations). The Operations Officer is responsible for working effectively with the OCC Manager to ensure flight operations are planned in accordance with OTARs, Freedom II SOPs, and any additional regulatory requirements (FAA Ops Specs, State AIPs, etc.)
Advises the appropriate personnel of potential delays or cancellations. Relies on experience, judgment, and company procedures to plan and accomplish goals. Works under OCC supervision. A strong background in dispatch and scheduling is required, along with excellent communication skills.
Specific Responsibilities and Duties
Being knowledgeable and compliant with all standards set forth in the OTARs, Freedom II OM suite, and OpsSpecs
Knowing Freedom II aircraft performance and limitations, crew duty limits, airport operations, and company operations manual requirements and restrictions to make appropriate judgements on operations
Working with the OCC Manager and crew members to identify risks and develop a mitigation plan through the initiation of airport and operational risk assessments on all flights coordinated, facilitated and dispatched while complying with all federal, international, company and departmental guidelines
Reviewing NOTAMS/Restrictions to Operations at all destination and alternative airports in the planning process
Maintain familiarity and utilization of flight scheduling software and other aviation related programs and resources
Coordinating with international handlers, government, agencies, and officials to obtain overflight/landing permits and slots in accordance with airport operations and regulations
Paying attention to detail in communications to maintain department records and reports, accounts payable, flight schedules, flight logs, and ensure validity of crewmember documents, international identification badges, and records to remain compliant with flight operations
Staying abreast of changes in regulations, procedures and equipment that may affect operations or the fulfillment of the flight department mission
Being available for afterhours/weekend/holiday calls to schedule aircraft, update flight information, flight follow, or aid flight crew or passengers,
Ensuring that aircraft schedules meet with any airport/ airspace restrictions
Having knowledge of domestic and international regulations and procedures to notify, coordinate, and establish business relationships with airports, FBOs (Fixed Base Operators), caterers, international handlers, government agencies and officials, to comply with airport hours and operations and to obtain any necessary permits, parking, slots, customs requirements, and any other necessary documents for the flight
Performing dispatch brief and debrief with flight crews to share information regarding operational and passenger needs or requests
Performing scheduling functions in the software system as needed
Assuming any additional duties assigned by the OCC Manager.
Requirements
Minimum Requirements:
2 years’ experience in Corporate/General Aviation aircraft dispatching role, preferably with charter / commercial operations
Experience in international operations
Strong background in scheduling software systems; ability to learn new systems quickly
Motivation to be involved in an integrated Safety Management System
Proficiency in MS365 especially, Microsoft Word, Excel, Teams
Excellent communication skills – oral and written
Experience working with all levels of management and providing excellent customer service
Proven ability to effectively conduct multi-task in a fast-paced, high energy work environment
Ability to handle sensitive and confidential data
Ability to be flexible and occasionally available after normal business hours to accommodate the aircraft and passenger schedules
Preferred Skills:
Experience dealing with VIP and high net worth travelers
Large private aircraft scheduling experience with 30-60 passenger loadings
Pilot or dispatcher license
College degree
