Aviation Business Controller

About the Role

The Business Controller reports to the Director of Operations and is primarily responsible for supporting budgeting and forecasting activities, conducting analysis, and driving process improvement. The position is a full-time, office-based role with occasional travel as needed to fulfill duties and responsibilities. The Business Controller collaborates with Freedom II management, personnel, contractors, and vendors and plays a vital role in the oversight of contractual agreements and retention of accurate financial records. This dynamic, broad based role is involved in HR and IT systems and serves as a fixed presence to connect and support a growing operation with multiple locations.

Specific Responsibilities and Duties

Finance and Contracts

  • Assisting with departmental and operational budgets and financial forecasts. Interpreting financial data and preparing reports for executive briefings;

  • Oversight of Freedom II vendor/third party contractual agreements, including but not limited to:

    • Revising and negotiating agreements, working together with Freedom II management to ensure effectiveness of vendor services before contract renewals come due;

    • Managing recurring payments and renewals to ensure continuity of services; and

    • Managing costs and invoices, including preparation of invoice approvals and payments.

  • Monitoring company credit card issuance, usage, and termination upon employee exits. Working with Director of Operations on company credit spend limits and approvals. Reviewing departmental expense reports for accuracy and compliance with company policies and approved spend limits;

  • Reporting to the Director of Operations any concerns, negative / unusual trends, or areas of risk relating to financial agreements, expense reports, budgets, etc.;

  • Identifying areas of cost savings and continually working to ensure cost effective measures are being applied within each department;

Human Resources

  • Liaising with company HR representatives and workload assignments to ensure productivity, effectiveness of HR activities, and compliance with company and regulatory requirements;

  • Maintaining oversight of offshore contractor agreements to include terms, oversight of contractor invoices and payments, logistics of contractor accommodations and travel, and coordinating with company HR representatives on follow through of exit arrangements;

  • Providing oversight to company HR representatives to ensure effectiveness of all HR efforts (recruitment, onboarding, retention, exits, etc.); and

  • Actively communicating with company HR representatives, candidates, and new employees to ensure interview, pre-employment and onboarding experiences progress in a timely manner.

Information Technology and Office Administration

  • Working with contracted remote and local IT support services to ensure efficient running of company IT components to include but not be limited to:

    • Reviewing IT invoices and identifying areas of cost savings / improvements. Ensuring effectiveness of services as outlined in contracts;

    • Ensuring fixed IT equipment and components (printers, hardware, software, etc.) are working and serviced as needed;

    • Maintaining oversight of company IT issues and working towards resolutions. Identifying negative trends or areas of risk;

    • Providing oversight for website development, administration, and monitoring website activity; and

    • Monitoring Freedom II shared email inboxes for information inquiries, job applications, etc.

  • Support of Freedom II office administration, including but not limited to:

    • Managing all office leases, contracted services (i.e. cleaners, security, pest control), utilities, etc.;

    • Maintaining control of key access, security systems, etc.;

    • Actively managing supply levels of office consumables and ensuring the office is maintained in a state of readiness to receive visitors and guests;

    • Receiving and distributing company mail, packages, etc. in a timely manner; and

    • Acting as liaison and primary point of contact with landlords and fostering positive relationships with landlords, facility staff, and other onsite parties.

Requirements

  • Experience in the aviation industry; international charter / commercial operations highly desired;

  • Formal financial training, credentials or proven experience in finance management and/or controlling duties

  • Ability to responsibly manage company costs and identify areas of improvement;

  • Risk management mindset that actively works towards protecting the company’s best interests;

  • Ability to interpret and understand implications of legalities associated with contractual agreements;

  • Superior verbal and written communication skills with the ability to quickly engage with a multi-location operation, remote workers, and operational crews, etc.;

  • Strong organizational skills and the ability to process and connect information to see a bigger picture;

  • Computer skills with the ability to quickly learn new systems. Proficiency in MS365 suite is required;

  • Ability to identify areas of improvement and either lead or participate in development efforts when new processes, systems, etc. are required;

  • Flexible and adaptable attitude and willingness to grow within an evolving operation; and

  • Ability to maintain the highest levels of confidentiality and remain trustworthy with sensitive information.

About the Company

Freedom II holds a Part 121 Air Operating Certificate (AOC) from the Bermuda Civil Aviation Authority and performs commercial charter operations. Our fleet consists of one B757 and two E170 aircraft.
